OVERVIEW

At Lavazza North America, the AP Financial Operations Specialist is responsible for processing invoices, reconciling vendor accounts, and ensuring timely and accurate payments. The ideal candidate will have a strong understanding of accounts payable processes, excellent attention to detail, and the ability to work in a fast-paced environment.

Location: West Chester, Pa or New York City, NY (Hybrid to either location)

RESPONSIBILITIES

  • Process vendor invoices, verify accuracy, and obtain necessary approvals from budget holders.
  • Match invoices with purchase orders and receipts.
  • Prepare and process payments (checks, ACH, wire transfers) in a timely manner.
  • Reconcile vendor statements and resolve discrepancies.
  • Maintain accurate records of accounts payable transactions.
  • Assist with month-end closing activities and accruals.
  • Respond to vendor inquiries and maintain positive relationships.
  • Ensure compliance with company policies and accounting standards.
  • Assist with audits and provide necessary documentation.
  • Reconciles the in-transit bank accounts specific to aged items (e.g. checks).
  • Ensure up-to-date filing of vendor invoices and other documents on-site. Liaison with the document management company (off-site storage).
  • Assist the AR team with resolving any deductions/chargebacks by customers.
  • Assist with vendor master data changes (primary responsibility of the Procurement team).
  • Produce ad hoc reporting in regards with vendor spent, budget.
  • Assist in ensuring an adequate internal control environment, as well as make recommendations regarding improvements of internal/external controls
  • Performs other related duties and assignments as required.

PROFESSIONAL QUALIFICATIONS

  • Bachelor’s degree with a concentration in Accounting, Finance, or Business
  • 2 years Accounts Payable working experience
  • 1 – 3 years of experience in accounting or finance
  • Demonstrated understanding of accounting theory, practice and application particularly as it relates to Accounts Payable
  • Excellent computer skills including advanced proficiency in Excel and technical Financial Control acumen
  • Ability and initiative to develop improvements in business processes and standardization.
  • Strong communication skills (both verbal and written) and attention to detail are essential
  • Strong ability to work independently; problem solving and analytical skills.
